The successful candidate will form part of the company’s Maintenance team and will be responsible for maintaining an effective and professional administration support for the department.
The Role:
Carrying out administrative support duties primarily for a specific division and acting as their main point of contact. In addition, carrying out work for the other divisions as and when required, or as directed by your Supervisor.
· Timely answering of telephone calls and professional and effective dealing with telephone queries. Prompt handling of customer complaints and effective query resolution within an acceptable timeframe. Referral to relevant parties if required.
· Accurate, timely and complete logging of jobs onto all relevant sections of our computer system (Total) under the correct contract and proper allocation of jobs to relevant departments to facilitate prompt and accurate job scheduling.
· Developing and sustaining strong working relationships with existing RSG customers.
· Regular liaising with RSG customers for example, to ensure clarity/full details of jobs are received, to chase outstanding paperwork and to verify Purchase Order numbers.
· Daily liaison with RSG Engineers to include the preparation of job packs with all requisite information for that day’s jobs.
· Ensuring that all necessary paperwork/documentation is received from clients and Engineers to facilitate accurate pricing and quotations, to include correct Purchase Order numbers.
· Completion of reports and updates to customers as per their agreed requirements (frequency, format, level of detail, deadlines, etc.)
· Preparation of daily/weekly submissions as per client requirements.
· Generate accurate quotations and send to clients within 5 working days. Follow up on active quotations until are converted to jobs or cancelled off the system.
· Timely and accurate invoicing against correct Purchase Order numbers.
· Typing letters/correspondence as may be required from time to time, following departmental standard letter formats and layouts.
· Other office duties to include; emailing, faxing, filing, photocopying, scanning, shredding, archiving, etc.
· Assisting and mentoring other staff as required.
· Any other reasonable duties which may be required by management from time to time.
Essential Criteria
- GCSE English Language and Maths at grade C or above or equivalent
- A minimum of two year’s work experience in an administration role
- Fully computer literate on all office applications
- Ability to communicate with staff, customers and managers in a professional manner.
- Ability to work independently on own initiative with minimal supervision
- Ability to work under pressure, prioritise and to strict deadlines
- Ability to resolve problems with own initiative/experience.
- Ability to work with good attention to detail and accuracy
Desirable Criteria
- NVQ Level 2 or 3 in Administration
- Word processing qualification
- Previous experience in Maintenance environment
